**Responsibilities**

Role Purpose



The Coordinator will provide accounting and financial support, office management, administrative support and title tracking services to the Creative Content Protection Technology, Operations & Analytics departments.

**Responsibilities**



Accounting and Financial Support



+ Process all operating expense invoices and all capital expense orders for payment in coordination with department leaders and the department’s financial manager. Handle vendor inquiries on payment status and coordinate information with Accounts Payable as needed.

+ Set up all new vendors in company’s financial or vendor systems in coordination with Sourcing and Finance. Update vendor information in systems as needed.

+ Manage quarterly financial close process to communicate invoice status, accrual amounts and budget timing and pacing status to department financial manager after coordinating with department heads and group Vice President.Office Management and Administrative Support

+ Provide general administrative support to Vice President, and staff as needed, to include calendar activities, scheduling meetings and visits by parties to department facilities, expense report preparation, travel arrangements, supply ordering, shipping, filing, organization of files, scheduling of training activities, telephone coverage, preparing and maintaining charts and meeting preparation.

+ Prioritize meeting requests and schedule accordingly.

+ Arrange travel and all accommodations including comprehensive and detailed itineraries.

+ Manage various department responsibilities such as renewing memberships, subscriptions, and maintaining office supplies.

+ Manage all office operations, including ordering and stocking of office & kitchen supplies, on-boarding and off-boarding of contractors and full-time employees in coordination with HR, and facilities projects for maintenance, repair or new construction.Title Tracking Support

+ Track company titles (e.g., movies, TV episodes) completion through department workflows to ensure accuracy of metadata and audio-visual materials required for creation of content ‘fingerprints’. Escalate delays and missing materials to department managers as required.Special Projects and Event Coordination

+ Manage and perform special projects as designated, specifically, dealing with administrative and coordination issues.

+ Plan/coordinate various social events in conjunction with internal departments.

+ Assist with internal communications with staff as well as communications with clients.

+ Coordinate staff meetings, conferences and client meetings as necessary.

+ Assist in the organization of lunches, corporate training, and continuing education and employee events.

+ Minimum 2 years of prior administrative experience, at executive assistant or comparable levelEligibility Requirements

+ Must have unrestricted work authorization to work in the United States.
