The core responsibility of a Contract Specialist is to prepare television (content) license agreements and any other related legal documents. This position provides support to the VP Business & Legal Administration on other administrative tasks as needed.


Key responsibilities:

• Primarily assemble and administer television (content) license agreements for Free TV, Basic Cable and Pay TV customers worldwide, using in-house contract assembly system (SAFE);

• Prepare short form license agreements. deal memos, amendments and any other related legal documents (company approved templates) as deemed needed;

• For new media or output/volume agreements, upon receipt of final execution version from handling attorney, review/scan through and fix formatting/numbering (if and when necessary) before liaising with the London office based Contract Administrators to handle the printing, saving and distribution of the license agreements;

• Communicate/liaise with the Contract Administrators based in the London office to handle the television license agreements administrative tasks/processes (i.e. print, send the execution version of the license agreements, create cover letter/envelopes, update contract status (in SAFE), prepare & check u-Book order, run follow-up letters/reports, schedule calls with different international sales liaison offices to discuss outstanding contracts/amendments or any other issues relating to contracts/amendments, scan & upload fully executed in SAFE, etc.);

• Handles queries from external clients on matters pertaining to the television license agreements and/or new media/volume agreements;

• Maintain up-to-date files (Files Management including archiving); manage extensive volume of paper/electronic files/documents; answer phones;

• Liaise and interface with Legal, Finance and Sales staff;

• Provide (routine) administrative support to the Department in general;

• Performs archiving of expired + fully paid license agreements. Archive lists must be created to track which files have been put away;

• Perform other duties and/or special projects as assigned.

Qualifications (essential & desired):

Minimum 3 years related working experience in an international office environment, preferably in contract administration;

Bachelor (HBO) or equivalent;

Highly accurate and strong attention to details for an extended duration at a time;

Strong Microsoft office (Word) skills and experience and affinity in using diverse systems. i.e. contract assembly system.

Able to work independently; effective time management skills; able to perform multiple tasks concurrently (flexibility); prioritize effectively;

Past experience in working with multiple clients across departments and countries (internal/external) and departments, etc.;

Excellent and accurate oral and written English communication skills.

Strong work ethic; professionalism, commitment to quality; initiative & strong self-motivation;

Able to work in a team oriented environment; willing to assist others as needed;

Have experience in providing clear and concise communications to a variety of diverse business units;

Experience with department procedures and high integrity (e.g., maintaining confidential documents).
