Role Purpose

This position will report to the Director/VP, Global Real Estate and will serve as a coordinator to the Corporate Real Estate Transaction team, supporting all real estate functions related to the management, acquisition, disposition or modification of leased or owned properties. The role consists of transaction support and administrative support.

Here what you’ll do in this role

+ Assist transaction managers as needed to review real estate documents

+ Utilize the team’s lease database to lookup location-specific information including lease terms and critical dates

+ Handle general office and administrative tasks, including the ordering of miscellaneous supplies; assist other members of the department

+ Organize team meetings and recurring transaction meetings involving multiple-attendee and multiple-location meetings (including Telepresence and presentation set-ups); juggle internal and external attendee calendars; demonstrate flexibility, patience, and organization in routinely rescheduling meetings; professionalism when working with executive-level attendees

+ Prepare and proof presentations as directed

+ Coordinate special services for critical meetings such as audio/visual needs, coordinating, and security check in

+ Assist with new employee set-up, including office needs, IT requirements, etc.

+ Organize and maintain executive files for ongoing projects

+ Keep timely and accurate expense account records; process travel expenses and reimbursements

+ Perform department business while maintaining strict confidentiality and professionalism

+ On a quarterly basis, create internal reports for Management to track real estate strategies, decisions, risks, costs and project progress to align with business plans.

+ Track all qualitative and quantitative savings created throughout all GRE activities for the group


Basic Qualifications

+ Bachelor's Degree in Business Administration, Finance, Real Estate, or related field

+ Minimum of 3 years of experience as an administrator supporting real estate managers or a real estate team in a fast-paced environment.

+ High-level proficiency in Microsoft Word, Excel, PowerPoint, Outlook

+ Superior organizational and administrative skills, with the ability to multitask and prioritize work, as demonstrated by previous corporate office experience

+ Previous experience as an administrative assistant in a fast-paced environment supporting multiple people and multiple time-zones

+ Strong interpersonal and communication skills, including a professional phone manner and in-person presence; experience as a team player; and ability to develop and maintain good working relationships with numerous executive assistants and other individuals across the company

+ Excellent attention to detail and willingness to take initiative; self-starter who is organized and able to work without close supervision

+ Demonstrated ability to assume greater responsibility as circumstances dictate. You have the ability to interpret and prepare analyses/transaction summaries to management
