**Responsibilities**

Job Purpose

The Coordinator’s responsibilities will include handling a busy desk, managing day-to-day administrative and scheduling functions for multiple executives, working closely with the finance department on vendor and invoice tracking, and managing core office services, functions and space planning. This position will support the SVP of Product and Technology in the NBC Entertainment Marketing & Digital organization.



Essential Responsibilities:



+ A flexible and willing team player who is a self-starter with the ability to coordinate and organize extensive meetings, manage busy calendar and phones, and correspondence

+ Complete administrative duties that include, but are not limited to, reconciling corporate credit cards, executive travel and expense reports, coordinating IT and facilities service, arranging departmental meetings, executive conference calls, preparing internal and external distributions and correspondence

+ Work with finance and executives to ensure all department invoices are submitted, coded and paid, set up new vendors in SAP, assist in classifying purchase card transactions

+ Assist with on-boarding of department new hires (parking, badges, location, IT and phone setup)

+ Recruit, train and manage department intern/page responsible for screener and script distribution

+ Maintain inventory of office supplies and stock two kitchens

+ Prioritize multiple assignments and projects while assisting with administrative and operational responsibilities of the department

+ Manage set-up, organization, function, cleanliness, booking of office meetings rooms, common spaces, and kitchen

+ Manage facilities/furniture procurement, space planning and organization

+ Put in drive-on passes for guests

+ Conduct research on request and maintain a general awareness of trends and competitive landscape in television and digital

+ Must exercise a high level of discretion in handling confidential and sensitive information

+ Stay up-to-date with all shows on NBC as well as competitive offerings

+ Coordinate office special event planning contributing to maintaining office culture

**Qualifications/Requirements**

Basic Qualifications:



+ Bachelor’s Degree

+ Minimum two years’ experience within a digital or entertainment company covering an executive desk

+ Interest and understanding of television industry, digital marketing, social media and online video preferred

+ Proficiency with Microsoft Office applications (Word, Excel, Powerpoint, Outlook) and experience with both PC and Mac.

+ Minimum two year’s office management experienceEligibility Requirements:

+ Interested candidates must submit a resume/CV online to be considered

+ Willingness to work overtime and on weekends with short notice; having a flexible schedule to work is key for this role

+ Must be willing to work in Universal City, CA

+ Must have work authorization to work in the United States

+ Must be 18 years or older

+ Must be covered by Solutions, NBCU’s Alternative Dispute Resolution Program
