The EA to the VP, Corporate Communications and VP, Human Resources is responsible for supporting all day to day activity undertaken by both VP’s. This will include administrative duties such as diary management and travel arrangements and will also include the preparation of presentations, significant work in PowerPoint and Excel, tracking of key actions required by the VP’s and direct liaison with clients and senior stakeholders as required.


+ Provide day to day support to both VP, Corporate Communications and VP, Human Resources

+ Ensure all actions are prioritized and ensure proactive follow-up with both VP’s

+ Establish a workflow for tracking and managing key processes and activities

+ Liaise directly with internal clients and senior stakeholders to ensure key deliverables are achieved

+ Coordinate special projects across Corporate Communications and Human Resources such as Town Halls, Leadership Offsite and internal employee events.

+ Play a key role in creating and building presentations for Corporate Communications and Human Resources including PowerPoint slides, preparing, organizing and integrating highly confidential data into digestible formats

+ Draft minutes following various meetings

+ Act as key point of contact on all external matters including call screening, processing mail/post, meeting requests and responding where appropriate

+ Establish and maintain positive relationships with internal and external clients

+ Make travel arrangements and collect travel documentation and receipts

+ Prepare and process expense reports, and ensure timely settlement of Corporate Credit Cards

+ Efficiently support the Corporate Communications team by raising PO’s, process invoices, monitor and track all expenditure in a timely manner and input to the quarterly Communications Budget review.

+ Manage diaries, schedule and coordinate internal and external meetings, conference calls and other activities as required

+ Manage Word-processing documents, including letters and Excel spreadsheets

+ Establish and maintain office files, ensuring timely filing of documents

+ Other ad-hoc assistant support e.g. printing, binding materials and photocopying etc.


Basic Qualifications

+ Bachelor's Degree

+ At least 2 years of administrative experience Requirements

+ Resilient and Resourceful - must be able to work effectively with minimal supervision

+ Ability to research and source ad-hoc information independently

+ Strong sense of initiative with the ability to multitask, and anticipate executive needs, using a proactive and energetic style

+ Excellent attention to detail, and the ability to deliver as promised

+ Excellent Microsoft office skills (Word, PowerPoint and Excel in particular) are essential

+ A working knowledge of SAP is desirable.

+ Creative and innovative

+ Be available, approachable and flexible

+ Able to plan work on his/her own initiative and to tight deadlines;

+ Proactive attitude, be on top of the work and team priorities to anticipate needs;
