The Role

The Executive Assistant position reports to the President of Digital Enterprises. The Executive Assistant uses initiative and good judgment, works independently with little supervision and maintains strict confidentiality.

Essential Duties and Responsibilities:

+ Manage complex schedules and coordinates meetings with internal and external parties utilizing multiple calendars

+ Schedules appointments on a day-to-day basis using Microsoft Outlook, and maintains executive and department calendars

+ Answer phones professionally and take messages as required

+ Schedule meetings, maintain distribution list and shared drives

+ Plan logistics for meetings, events, roundtables, including room reservations and technology set-up

+ Arrange complex logistics for multiple-attendee and multiple-location meetings (including Telepresence and slide presentation set-ups).

+ Arrange travel and all accommodations including comprehensive and detailed itineraries

+ Process travel expenses and reimbursements and keep accurate and timely expense account records

+ Process and administer invoices and payments according to contractual obligations in a timely and accurate manner in accordance with established divisional travel policy guidelines

+ Handle general office and administrative tasks, including the ordering of miscellaneous supplies

+ Interacts and maintains relationships with members of other business units at NBCUniversal, as well as third parties.

+ Additional duties as assigned by supervisor


Basic Qualifications:

+ Bachelor’s degree required

+ 1+ years of administrative assistant experience required, preferably in the media industry supporting a senior level executive

+ Excellent PowerPoint, Microsoft Word, Excel, Outlook, and Internet skills required

+ Ability to work with and maintain confidential information

+ Demonstrated ability to assume greater responsibilities as circumstances dictate
