A Chicago-based media company is looking to fill a full-time Facilities/Office Manager position, reporting to the Broadcasting CFO. The Facilities/Office Manager is responsible for organizing and coordinating facility/office activities to assure operational effectiveness and efficiency. Coordinates project assignments, controls the activities of service providers engaged in maintenance, security, cleaning, as well as be the main interface for the company with landlord, lease administration, and be primary interface with all Tenant business units for their needs. Must have a ‘customer-first’ approach to the work, be able to interface comfortably with staff at all organizational levels and maintain an overall pleasant environment.


  • Must have full working knowledge of the office lease, all amendments, licenses and service contracts, and manage office and vendor/contractor operations accordingly
  • Serve as primary contact with landlord, service providers and contractors
  • Project manage facilities projects from inception to completion, adhering to timeline and budget requirements as set forth by Corporate Real Estate or Business Unit leads. Will include administrative role for 60,000 SF corporate relocation
  • Oversees the coordination of office space allocation and layout, moves, reconfigurations; should be able to read and decipher basic floor and construction plans
  • Plan and manage floor layout changes as required
  • Responsible for maintaining departmental space allocation spread sheet, and maintain and update seating floor plans
  • Coordination of repairs and physical moving of furniture, workstations and offices
  • Manage parking agreements and parking assignments
  • Manage stockrooms and other storage areas, supplies and efficient inventories
  • Oversee / initiate building management work order requests via electronic tenant portal, and arrange for necessary maintenance and repair work with outside vendors as required
  • Resolves building maintenance issues, working directly with staff, property management and building engineer
  • Coordinate with Procurement to maintain equipment inventory list
  • Places equipment services calls; new equipment installation coordination with equipment vendor
  • Review invoices to assure compliance with contract terms, process invoices for payment accordingly
  • Maintain and regularly review security access controls. Add and delete security access as directed by HR or Business Units. Manage set up and replacement of building ID badges
  • Training & updating emergency evacuation procedures per City of Chicago Fire Code. Construct, and execute business unit safety plans
  • Manage sale of excess company assets as necessary and maintain accurate records; will include artwork, furniture, equipment, etc.
  • Manage, coordinate and execute office activities, corporate events and charitable activities
  • Oversee basic operations such as mail and messenger service, conference room booking and freight elevator needs
  • Other duties as assigned


  • 5 + years of relevant experience
  • Customer service approach – excellent relationship management skills and communications ability (Internal and External)
  • Detail oriented, well organized, and commitment to successfully complete tasks
  • Ability to work during nonstandard hours when the need arises
  • Thorough working knowledge of company procedures and practices
  • Ability to work without direct supervision
  • Ability to work well under pressure
  • Knowledge of and experience with project management, construction, repairs and maintenance
  • Ability to multi task
  • Good oral, written, presentation, and computer skills. Proficiency with Excel required
  • Strong leadership skills a must
  • Creative mind with the ability to suggest and implement efficiencies and improvements
  • Must be willing to submit to a background check
  • Must have unrestricted authorization to work in the United States
