+ Completes a broad variety of administrative and project management tasks.

+ Responsible for proactively managing/coordinating daily schedule/calendar, contacts, travel arrangements, meetings (internal and external), conferences, and seminars

+ Arranges and schedules meetings involving executives; maintain and update calendar; develops and maintains relationships with executive assistants throughout the company;

+ Arranges travel and all accommodations; process reimbursement and expense reports in accordance with established policy guidelines; track expenses and follow-up in timely manner

+ Creates and edits executive and financial presentations, agendas, spreadsheets, communications, and reports

+ Ability to project manage an operational or finance oriented initiative

+ Responsible for complex meeting/event preparation (AV, room scheduling, telepresence events, etc.), set-up, and follow-up including preparing agendas/materials, arranging for food/drink


+ Bachelor’s degree

+ Minimum three years of prior administrative experience I.e. administrative assistant, coordinator, or comparable level; or an equivalent combination of education and experience

+ Strong analytical skills, with the ability to manipulate, summarize and present data in a cohesive manner

+ Excellent computer skills and proficiency with all Microsoft Office applications, especially PowerPoint and Excel

+ Strong executive presence, presentation and communication skills

+ Fully bilingual: ability to read, write and speak clearly in English and Spanish

+ Strong organizational skills and the ability to manage electronic filing systems

+ Demonstrated ability to maintain a high level of confidentialityEligibility Requirements:

+ Must be willing to work in greater Miami, FL area

+ Must have unrestricted work authorization to work in the United States

+ Must be 18 years or older

+ Must have a valid driver’s license
